Research Reveals AI Document Productivity Challenges

Kuala Lumpur:Templafy Artificial intelligence is now a common tool for creating business documents, but new research indicates that its full productivity potential is not yet realized. While AI can speed up document generation, it does not always lead to faster completion times.

According to BERNAMA News Agency, the study "The Business-Ready AI Gap 2026" reveals that 90% of knowledge workers in the United States and United Kingdom use AI to create business documents at least weekly. However, 95% of these workers still need to edit the AI-generated output before it is suitable for use, spending nearly four hours a week on reviewing, correcting, and validating documents.

Christian Lund, co-founder of Templafy, stated that the advantage of AI will increasingly rely on how well companies integrate the technology with their existing knowledge, standards, and expertise. Nearly half of the study's respondents noted that the time spent reviewing AI-generated documents often negates the time saved, illustrating a gap between AI outputs and documents that meet company-specific standards.

While 60% of respondents found their initial AI-generated output required minimal editing, 34% of those who spent over an hour revising a document said editing could take longer than creating it manually. The primary issues requiring correction were accuracy, cited by 40% of respondents, followed by generic phrasing at 34% and formatting issues at 31%.

The research further found that 42% of respondents felt their AI tools lacked sufficient access to approved company content, and about 40% reported difficulties in incorporating such content. Only 30% said that approved templates and content are automatically applied.

Concerns about differentiation are also rising, with 59% of respondents indicating that AI-generated documents could make different companies sound too similar, while 56% said such documents often feel generic. Additionally, 42% identified a loss of trust or credibility as a risk due to increasingly generic content.

Templafy's platform data shows a growing adoption of AI agents, with user engagement increasing from 31% in December 2025 to 66% in August 2026. Across over 29,000 analyzed sessions, median document creation time decreased from about two hours without agents to eight minutes with agents.
